6 ways to free up time & increase productivity

Towards the end of 2016, we spoke to 50 Agency leaders about what it was that inspired them to set up in business. Unsurprisingly, the majority of respondents (38%) said they wanted to be their own boss, 16% said to do more of what interests me and 13% set up their own Agency to achieve a better work-life balance.

However, having worked with over 500 creative sector Agencies, we’ve seen first-hand the admin and tasks that drain your valuable time. This ultimately leads to late nights trying to meet deadlines and missing out on doing those things you originally set up in business for.

Ridding one’s self of work is easier said than done, but perhaps it’s time to take a step back and think about the things that make the most impact on the business. What information do you need, why do you need it? How can you act on it?

To help, we’ve put together our top tips for freeing up time to get on with the things that really matter to you and your business:


Take back control of your ‘to do’ list. Rank your tasks in order of importance and set a realistic timeframe to complete these. Can you delegate some of your workload to other team members? A recent article on how to be more productive at work from The Guardian said, “Prioritise, knowing your in-tray will always be full.” “Once you have done this, leave the rest of the tasks for another day, or delegate them”.

Increase your work breaks

Don’t burn out. Sometimes, taking a ten-minute break in between activities is all you need to get a fresh perspective on your task. Here at The Agency Works, we actively encourage our team to get away from their desks, whether that’s going outside for a walk or simply changing the environment in which they’re working in.

Automate processes

Need to find out how profitable a job was or how much time was spent on a job versus the estimate? Save time by automating your processes. Switch your email & phone off

We’re all guilty of leaving our emails running in the background whilst we work. It’s so easy to ‘quickly’ check your emails and end up off-piste from your original task. Try switching off the phone or your email for an hour and get on with what you need to do with no distractions.

Don’t be available all of the time

Allocate time in your diary to spend with colleagues. If you always make yourself available, this will pull you away from the important stuff. And this goes for invitations to networking evenings and meetings too. Say no to the invitations you don’t want. You can’t be everywhere at once and whilst it’s nice to be invited to various events, it’s worth taking a look at the ones that will really benefit you and politely declining those that won’t.

Develop better habits

The more you put these tips in to practice, the more it will become the norm, thus helping to free up your time to really focus on the things that matter.
